Capitalised terms have the same definitions as defined the Agreement.

Introduction

The Company strives to provide exceptional service and value to all our Service User(s)s. However, the Company understand that circumstances may arise where a Service User(s) decides to terminate their Agreement with the Company. This Termination Policy outlines the procedures and process for the termination of services or contracts with the company.

Overview

The Service User(s) must follow the following steps detailed in this policy herein defined as the Early Termination Process.

1.Submit a Termination Request

1.1 The Service User(s) must formally raise their termination request via the termination webform that will be provided by the Company upon request of the Service User(s) only. This form must be completed in full to be considered as a valid termination request. Where the form is not completed correctly or in full the Service User(s) will receive confirmation that the request has been rejected and the Company will not consider any new requests to terminate the Agreement until 30 days has passed.

1.2 A full and valid reason must be given as to why the Service User(s) wishes to cancel and should include all relevant details and concerns to assist the company in understanding the Service User(s)’s decision. Where the form is not completed correctly or in full the Service User(s) will receive confirmation that the request has been rejected and the Company will not consider any new requests to terminate the Agreement until 30 days has passed.

1.3 The termination request will be reviewed in full by our team within 10 working days to determine whether the request is valid, genuine & has be genuinely requested by the Service User(s). If the team requires any more information from the Service User(s), they will contact the primary contact using the telephone & email contact information the Company holds the Service User(s) account.

Please note: The Early Termination of the Agreement has not been accepted at this stage & the Service User(s) must still perform its obligations under the Agreement, any breach of the Agreement prior to completion of the Company’s Early Termination Process will result in the request being rejected. Where there is a breach of the Agreement during the Early Termination Process the Service User(s) will receive confirmation that the request has been rejected and the Company will not consider any new requests to terminate the Agreement until 30 days has passed.

Return of Equipment

The Service User must return all equipment provided by the Company prior to and during the term of the agreement, in immediately redistributable condition, with no cosmetic or physical damage & in good working order. If the equipment is not returned prior to a quotation being prepared

Quotation for Cancellation

If the termination request is deemed to be valid and all information is correctly provided, the Service User(s) will be provided with a quotation to cancel their contracts by the company, as per the agreed terms of business.

The Service User(s) will have 7 days to accept or decline the Quotation.

If the Service User(s) wishes to proceed with the Quotation for cancellation, the Service User(s) must pay the sums due from the quotation within 7 days of receipt of the quotation.

If the Service User(s) does not wish to proceed with the Quotation for cancellation, their contract will continue, as per the company’s terms of business.

Where quotation is not accepted or paid in full the Service User(s) will receive confirmation that the request has been rejected and the Company will not consider any new requests to terminate the Agreement until 30 days has passed.

Cancellation Invoice

If the Service User(s) accepts & pays the Quotation in full, the company will raise an invoice of this amount to the Service User(s) within 7 days. The Company will also confirm in writing that the agreement has been terminated.

Variation

The Company reverse the right to vary this policy at any time without notice. By initiating the termination process, Service User(s) acknowledge the terms outlined in this policy.
